My client was faced with needing to find a way to have employees enter facilities safely during the pandemic. I lead a scrum team to build an internal application that allowed folks to complete a self health check in order to be granted building access.

PROCESS

  1. I started this project researching other applications that have similar purpose and functionality to what we needed. Many organizations were selling pre-built applications that were customizable to and company’s needs. Our business team wanted to create something in-house that could then be scaled and utilized for other initiatives in the future when health checks are no longer necessary.

2. I started thinking about who this application would be for and determined there would be three key users: Employees, HR Administrators, and Security. I started talking to employees about things they would want to see in an app like this, to HR about their duties and how to integrate the app into their daily tasks, and with Security about their building ac cess process pre-covid and the best way to integrate Covid-19 protocols.

3. Through these conversations, my UX partner and I were able to determine high level Information Architecture and user flows based on the level of access a user would need.

4. This helped us have better conversation with the business teams about initial needs and nice to haves. It was determined that though it would be nice to have an area for people to view CDC updates and real time building updates, the most pressing need was for the health survey to be accessed so people could get into the building safely.

Through these discussions, I created journey maps in order to better communicate the stories of the people who would be using this app to the business teams.

5. The journey maps, personas, high level IA and research I had done up to this point was done collaboratively, engaging the business teams along the way. This helped me lead a brainstorming session with all stakeholders involved to discuss the requirements they had given us up front. I used those as talking points and to guide us in a clearer direction now that our users were more crystallized. Based on the business needs, we wrote user stories together as a group and made a priority matrix. The session ended with everyone from business, UX, development and IA on the same page and clear direction on how we will start building.

6. From here, use cases were built for all user types. It was further determined that all employees were not the same, some had credentials in a particular database, and other types of employees would need to register themselves in the app in order to access it. I was able to work with the Architects to pin down exactly what data we had access to and how to merge newly registered users into the existing database so we could minimize the number of databases being used.

7. The application was released Q2 2021.
